JTHS BAA MEETING MINUTES FOR JULY 14, 2010

Attendance: Jan, Brad, Art, Melissa, Megan, Gene, Mary Beth

A meeting was conducted at JTW Library on July 14, 2010. May 2010 meeting minutes were read and accepted by Melissa and 2nd by Gene. The Treasurer's report was also reviewed, which included 1, 5 yr membership for $45.00. The report was accepted as read by Melissa and 2nd by Mary Beth.

Review of Old News: The 2010 Picnic topic was revisited and all concurred that after 2 yrs it did not prove successful for membership or attendance proposes. The Board has opted to participate with the JTHS Central Band Parents Family Picnic. This years picnic to be held on Aug 22 after 5pm. with place to be announced by e-mail. Info not yet available from Mike Fisk. Those attending are asked to bring a dish to pass.

The topic of continuing our Insurance Policy was addressed. The Board opted to let it lapse and revisit the subject in 2012 .

New News:

Dates for Scotch Doubles was reviewed and many of the Board members had conflicts with the October dates. The suggestion was made to hold the bowling event in November instead. Megan to check for Nov. 7th availibility at Comet Lanes, which was cheaper to rent than Town & Country. Prizes need to be acquired and advertising needs to get started to increase attendance.

Business Card:

The new business card was reviewed. Color, font and content were reviewed. Art requested our membership fee be listed on back. Gene can adapt any info we need on card. The Board will need to decide if they want cards professionally printed or printed by "us" as needed.

Brad is working on getting a data-base of names from Lynn L.

E-mail address manager:

Jan is looking at trying to send bulk e-mail. Brad and Gene to look at programs to assist with this process. Brad brought up the possibility of needing a media release to allow picture taking and use of pictures of our members.

The topic of using PayPal for membership payment was also reviewed . Brad and Gene to evaluate Google vs Pay Pal regarding cost to our organization. A quick review online showed the fees to be very similiar, 2.9% + $0.30
per transaction and the Board decided to table the idea for now.

It was requested to have a printout of our membership roster which would include each member's length of membership.

Annual Meeting:

Gene has requested we start a timeline for the 2012 Concert available for Sept Annual Meeting. The Board decided to use one of our participating sponsors for the Annual Meeting, Suggestions include Jameson's, Brickhouse or Dragon Light. The meeting will be Sunday , Sept. 26th at 6 pm. the place will be decided at the next meeting and included in the mailing prior to meeting

It was recommended to try and schedule a couple of meeting/gatherings at restaurants in the Suburbs to try to increase participation. These will be discussed at the Annual Meeting with dates and places to be determined.

WEB SITE:

Gene will make "membership" be more prominent on our webpage to encourage folks to join and pay dues.

A working session is scheduled for Aug 11th at JTW Library at 7 pm
